How to annotate a PDF
Marking up a document for someone else is one of the most common jobs a PDF has. Here it takes no account and no software, and it goes further than the highlighter in a reader.
- Drop the PDF on the box at the top.
- Pick a tool in the bar above the page, and a colour.
- Highlight, Underline and Cross out: press on the first word and drag to the last one.
- Pen: draw. Box, Circle and Arrow: drag from one corner, or one end, to the other.
- Text: click on the page and type. Stamp: choose Approved, Draft or another, then click where it goes.
- Made a mistake? Press Undo, or pick the Eraser and click the mark.
- Add a comment to any mark in the list under the page if you want to say why.
- Press Save the PDF. To send the comments on their own, press Download the comments as a list.
Real comments, not drawings
Each mark is written as a standard PDF annotation. Acrobat, Preview, Edge, Chrome and phone readers all show them in their comments list, where the other person can read, reply to or delete them. The page underneath is not changed at all, so taking every mark off gives back the original.
Marking up a scan
A scanned page is a picture, with no words in it to pick out. Highlight still works: drag a box over the part that matters and it is coloured in, the way a highlighter pen would do it. The pen, shapes, arrows, text, stamps and sticky notes work on any page.
Good to know
- Can I mark a scanned page?
- Yes. Highlight becomes a box you drag over the part you want, and every other tool works as usual. To highlight single words, run the scan through OCR PDF first.
- Can I remove a mark before saving?
- Yes. Press Undo (or Ctrl+Z), click the mark with the Eraser, or press Remove next to it in the list.
- Which letters can I type on the page?
- Text typed on the page can use Western letters and accents. For other alphabets, write in a sticky note or a comment, which take any language.
- Is the PDF uploaded?
- No. The marks are added by your browser.
